AI seats, credits and setup

Vivotics AI is a paid add-on controlled by AI seats. A seat unlocks the whole AI suite (Notetaker, Ask Vivotics, AI Writer, standups and autofill) for a specific person, and all AI usage is metered against a shared monthly pool.

Turn on AI for your workspace

  1. An administrator connects an AI provider (an API key for Claude, or an OpenAI-compatible provider such as DeepSeek) and, optionally, a self-hosted transcription endpoint for uploaded recordings.
  2. Go to Settings → AI.
  3. Set the number of AI seats your plan includes.
  4. Assign seats to specific people by toggling them on. Only people with a seat can run the AI; everyone can still see the minutes, tasks and answers it produces.

Credits and metering

Each AI seat adds an allowance to your company's monthly pool: transcription minutes for the Notetaker and tokens for text features (Ask, Writer, standups, autofill). Usage across the whole team draws from the shared pool, and Settings → AI shows how much is used. When the pool is exhausted, AI features pause until the next month or until you add seats.

Team glossary and context

Under Settings → AI → Team context and glossary, an admin can add the team's names, product terms and abbreviations. The AI reads this before every meeting and answer, so it spells names correctly and understands your domain vocabulary.

Who can use it

AI features are available to non-client members who hold an AI seat and the AI permission. Clients do not run AI, but retrieval always respects their access, so anything a client could see is all an AI answer for them could ever use.
