Vendors, bills and payables

Track who you owe, what is due, and when. Bills post to accounts payable automatically, so your balance sheet is always honest about liabilities.

Where to find it

Finance, then Vendors for the supplier list, Bills for what you owe, and Vendor payments for what you have paid.

Adding a vendor

Create the vendor once with a primary contact, email, phone and billing address. Vendors are per company, so each workspace keeps its own supplier list.

Recording a bill

Create a bill against a vendor with:

  • a bill number
  • the bill date and, importantly, the due date
  • the amount

Leave a bill in draft while you are still checking it. The moment you set it to open, Vivotics posts it: the expense is recognised and accounts payable goes up by the same amount.

Due-date alerts

Every morning Vivotics checks for bills that are open or partially paid and due within the next two days. Admins and finance managers get an in-app notification for each one. Alerts are sent once per bill per person per day, so nobody gets spammed and nothing goes quietly overdue.

Paying a vendor

Record a vendor payment against the vendor, with the bank account it came from. When the payment is marked complete, payables come down and cash comes down with it.

Seeing your payables position

The Books screen carries the running payables figure on its Overview tab, and the Balance Sheet shows it alongside every other liability.
