Who can see client data

Client contact details are commercially sensitive. Vivotics limits them to the people who need them, without getting in the way of the team doing the work.

The rule

Employees see active clients as names only. They can tell which client a project or task belongs to, and nothing more.

Specifically, for anyone who is not an admin, a finance manager or a client:

  • The clients list shows only the client name. Email, phone, company name, category and the added-by column are not just hidden in the browser, they are never sent to it.
  • Inactive clients do not appear at all.
  • Client profile pages return a permission error.
  • Client pickers on projects and invoices show names only, active clients only.
  • Global search returns the client name with no email address and no link into the profile.
  • Exports carry names only.

Who keeps full access

  • Admins see and manage everything.
  • Finance managers keep full client access, because billing needs contact and address details.
  • Clients see their own record as they always have.

Why inactive clients are hidden

A client you no longer work with is not something an employee needs in a picker or a list. Hiding them keeps day-to-day screens focused on live work, and keeps former client relationships out of general circulation.

Changing the rule

The restriction is based on roles, not on individual permissions, so granting someone a client permission does not accidentally open the data. To give a person full client access, give them the admin or finance manager role.
