Invoices, estimates and payments
The Finance module handles the money side of client work: estimates that become invoices, invoices that track their own payment status, and reminders that chase themselves.
Estimates and proposals
Create an estimate under Finance > Estimates with line items, tax and validity. Clients view and accept from their portal (acceptance can capture a signature). An accepted estimate converts to an invoice in one step, keeping the agreed line items intact.
Invoices
- Create one-off invoices or recurring invoices for retainers and subscriptions (Vivotics generates and sends each cycle automatically).
- Invoices track status: paid, partial, unpaid, overdue.
- Time logged on a client project can be pulled into invoice line items.
Payments and reminders
Record payments against invoices (full or partial). For chasing, install the Chase overdue invoices automatically recipe: the day an invoice passes its due date, the client gets a polite reminder, no awkward emails required. Payment gateways can be connected under settings for online payment.
Expenses and credit notes
Track expenses against projects and clients so profitability includes what you spent, not just what you billed. Credit notes handle refunds and corrections cleanly.
