Customer statements
A customer statement is the running story of one client's account: every invoice raised, every payment received, and the balance after each one.
Opening a statement
From Finance, then Books, Overview, every client with an outstanding balance is listed with a Statement link and a PDF link. Statements are visible to admins and finance managers only.
What the statement shows
- Invoiced in period: everything billed between your two dates.
- Paid in period: everything received in that window.
- Period balance: invoiced minus paid for the period.
- Total outstanding: what the client still owes across all time, not just this period.
Below the totals, each invoice and payment appears in date order with charges, payments and a running balance.
Choosing a period
The statement defaults to the last twelve months. Set your own from and to dates and choose Apply to re-run it.
Sending it to the client
Choose Download PDF to get a clean, printable statement for the period on screen. The PDF carries your company name, the client's details, the same totals and the same line detail. Attach it to an email when you chase a balance, or send it as a monthly courtesy.
Where the numbers come from
Statements read from the invoices and payments in Vivotics, which are the same records that post to the double-entry ledger. The statement, the receivables aging report and the balance sheet always agree.
